Boardrooms have been ubiquitous across organisations for decades, but the kinds of meetings that they need to enable today are very different than in the past. Collaborative meetings are largely conducted over videoconferencing systems and often at short notice, given the need to conserve the time of senior members of the board and the organisation.
The priority in these new boardrooms is to make the technology elements of in the room almost invisible, very quick to set up and extremely intuitive to use.
Here are some tips from our team, to help achieve these goals in your boardroom:
1. Plan for wireless portable devices (see BYOD) — engage with users to understand if the presentation tools are likely to include portable devices (especially tablets) other than a PC/laptop for presentation purposes. When a guest presenter walks into the room with his tablet, he should be able to present content seamlessly with the existing hardware. A wireless presentation gateway can provide IP options for devices to communicate with one another.
2. Pay attention to room audio design to ensure clarity — when larger boardrooms are designed, there is a need for an effective audio system so that all participants can hear the presenter clearly. Ceiling or boundary microphones (with mute options) are ideal for integration with a suitable audio system.
3. Speed up room start-up times with control system pre-sets — When a user enters the room, a one-button control should be configured to get the room ready to present — Power On the Projector, display, PC and adjust the lighting simultaneously. These settings can be modified later according to the preferences of frequent presenters in the room. A control system comprising of a control processor or room controller and software driven UI is used to accomplish this.
4. Cables and interfaces are critical elements of your boardroom — Make future proof choices for the cabling interfaces and ensure that you deploy the appropriate extenders to connect to rack hardware. The quality of the cables and connectors is important because this ensures signal quality is maintained between sources and output devices. Attention must be paid to cable management (concealed cabling, cable tagging, rack cables) to enable ease of use and maintenance.
5. Experiment with room lighting for presentation settings — Room lighting plays a key role on projected image brightness, colour accuracy and appearance. Right choice of room lighting with dimming has less strain on viewers eyes and lets the audience focus on the presentation or projected image. Effective control of dimming also contributes towards achieving energy saving goals.
